You've created a class or event, now set the availability of it

Schedulista provides online appointment scheduling software for your business or organization to allow your clients to book with you 24/7.

Our Class feature is perfect for services with multiple attendees. There are two methods to make classes available: Classes can be added directly to your calendar on specific dates and times to make them available to book through the online scheduler; or classes can be offered whenever you have availability on your schedule.

Once you've created a class or event service, the two methods to determine when classes or events are available on your schedule provide a lot of flexibility.

With the class or event, multiple clients will be able to book for the same time until the max capacity you've set is filled.

Method 1: Adding classes or events directly to your calendar

This is the default method for making classes available.

In contrast to the frequency of standard one-on-one appointment scheduling, empty classes and events can be added directly to your calendar on specific dates and times to make them available to clients to book through the online scheduler. Classes can be added on the mobile app or the web app.

You can also add a series of repeating classes to quickly add them to your calendar.

If you see "No availabilities" for a class service in the online scheduler, you'll need to add classes to your calendar to make them available.

On the mobile app

(1) Go to the Calendar tab

(2a) Double-tap or press and hold on the time slot on the day you’d like to offer a class or event

  • Tap on Service on the Create Appointment menu that appears at the bottom of the page

(2b) Or, tap on the Add Appointment plus (+) symbol on the top right

  • Tap on Service on the Create Appointment menu that appears at the bottom of the page

If you use the Add Appointment plus (+) symbol to create the appointment, you may need to set the date and/or time for the class you want to add.

On the Appointment page, tap on the Date to make a change

(3) On the Appointment page, tap on Service

(4) Select the class service from the Choose service list

(5) The Max Capacity for your class or event will auto-fill based on your class service settings. You can adjust the capacity for the specific class or event you are adding without affecting your regular settings, if needed.

(6) Tap Save

On the web app

(1) Go to the Calendar page

(2) Click the time slot on the date you’d like to offer a class or event 

(3) In the New Appointment dialog, select the class service from the Service drop down list

(4) The Max Capacity for your class or event will auto-fill based on your class service settings. You can adjust the capacity for the specific class or event you are adding without affecting your regular settings, if needed.

(5) Click Save

Method 2: Offering classes whenever you have availability on your schedule

If you don't need to limit when you want to make classes available, this second option allows you to make classes available whenever you have time on your schedule, similar to the standard one-on-one appointment scheduling.

Appointment times for classes will be based on:

If your work hours are 9am to 5pm and your appointment times show every 1 hour, clients would see times for classes at 9:00, 10:00, 11:00, 12:00, etc. If an appointment is already booked at 10am, clients would see times for classes at 9:00, 11:00, 12:00, etc.

With the class or event, multiple clients will be able to book for the same time until the max capacity you've set is filled. When a class is first booked, it places the class on the schedule and no other service can be booked during that time.

(1) On the mobile app (version 7.3 and above): Tap on Services / Classes / Events under the Configure section on the Settings tab

On the web app: Go to Settings > Services / Classes / Events 

(2a) Tap or click Edit next to an existing service; or

(2b) Tap or click Add Service to create a new service

(3) Scroll down to the Class section

(4) Tap or click the No button to change it to Yes

(5) Set the Max capacity of the class

(6) Check the box next to Also offer this class whenever you have availability on your schedule

Note: You can also set the Multi-seat booking options for the class, if you'd like to allow a single client to book more than one spot in the same class in a single transaction.

(7) On the mobile app: Tap Save at the bottom of the page; then tap Close at the top of the page to return to the Settings tab

On the web app: Click Save at the bottom of the page

Clients will see available class times in the same fashion as standard one-on-one appointment times.

You can further define your class availability by setting specific appointment times for your class service.
