Set a two-way sync between your Schedulista calendar and Google Calendar

Schedulista provides online appointment scheduling software for your business or organization to allow your clients to book with you 24/7. We offer a number of integrations with other software and services to aid with your business.

To help manage your availability, you can sync your Schedulista calendar with your Google Calendar account.

Unlike subscribing to an iCalendar (iCal) feed, this offers two-way synchronization. Appointments from Schedulista are shared with Google and events from Google are shared with Schedulista. These will appear on both calendars.

Google Calendar to Schedulista

The sync allows you to import any of the calendars listed under the My calendars section on the menu on your Google Calendar account.

Note: Calendars listed under the Other calendars section of the menu on Google Calendar cannot be shared in the sync because these calendars are not owned by your Google Calendar account. They are shared from or subscribed to other sources and have limitations on being shared from your account to other accounts or other calendars. These calendars will not appear in the list of calendars to import into Schedulista.

Google Calendar mobile app

In the Google Calendar mobile app , you can see the list of calendars by tapping on the three-line hamburger menu icon on the top left. Your list of calendar accounts connected to Google Calendar will appear below the options to change the view of the calendar.

Each account will have a list of available calendars with boxes you can check or uncheck to view on the main calendar view in the app. This list is not separated into the My calendars and Other calendars sections like on the web; everything is listed in the order the calendars are added to the account.

Sync or unsync

Note: This use of "sync" here is regarding calendars from a Google Calendar account being connected to the Google Calendar mobile app not the Schedulista sync.

If you don't see a calendar listed, it might not be synced to the app. You can sync or unsync calendars to add or remove them from viewing. To do so, tap on Settings below the list of accounts. On the Settings page, scroll to the lists of calendars for each account. Tap on a calendar to sync or unsync the calendar from the app, change the color representing the calendar, and/or turn on or off notifications for that calendar.

Google Calendar event status

Google Calendar events can be set to Free or Busy status. If you want a Google event to block out time in Schedulista, you will want to set it as Busy.

All-day events in Google are set to Free by default. You can change this while setting the event or by editing the event after it is set.

Google events on your Schedulista calendar

Google events appear on your Schedulista calendar(s) as grey appointment tiles. Grey tiles with solid white borders are Busy Google events that block out time on your schedule. Free Google events have dashed white borders and do not block out time on your schedule. Events details appear on the grey tiles.

All-day events

All-day Google events with Free status appear at the top of the day on the Schedulista calendar on the mobile app and the web app. All-day Google events with Busy status will block out the whole day in Schedulista.

Other providers' events

For privacy, any other users on multi-user accounts who have access to a user's calendar that is synced to a Google Calendar will see a generic Google Calendar Appointment title on that user's calendar instead of any event details.

Schedulista to Google Calendar

A new calendar labeled Schedulista (or Schedulista - [your user account name]) is added to the My calendars section of the menu on your synced Google Calendar account. All exported Schedulista appointments appear there.

Appointments include the title of the service, duration, client name, client contact information, appointment location, and appointment notes. If using the Zoom service integration, the Zoom meeting join link will appear in the location field. A class service will be labeled CLASS in the title. Class attendees are not included.

Google Calendar mobile app

The Schedulista calendar will be added to the list of calendars in the Google Calendar mobile app in the order that it was added to the account. You may need to enable the sync for the calendar in the mobile app settings to allow it to appear in the list.

Making changes to appointments or events

To make changes to an appointment or event, you must do so on the calendar on which it was originally set.

Any events added to the Schedulista-labeled calendar on Google Calendar will be removed the next time the calendar syncs. Any changes made to Schedulista appointments on Google Calendar will automatically revert the next time the calendar syncs.

A link to the appointment in Schedulista appears in the event description on Google to help easily make changes.

An error message will appear when trying to save a change to a Google event in Schedulista, including trying to cancel a Google event.
