Setting specific start times for individual services in Schedulista

Schedulista provides flexibility to offer start times for your appointments that will work best for your services. Using a frequency interval, setting specific start times, or using classes gives you control and lots of options.

You can set specific appointment times for specific services that clients can schedule with you.

Note about specific times and your work hours

Setting specific times defines your appointment times, but the work hours on your calendar still determine whether you are available on any given day. You will want to make sure that your regular work schedule is set so that you are available during these specific appointment times. Setting daily overrides for work hours can also affect which days and specific times are displayed.

For example, if your work hours are 9-5 and you add an appointment time at 5:30 pm for a 1-hour service, you'll need to set your work hours to end at least at 6:30 pm to support an appointment at that time.

When you set times overrides, you can select which days of the week you want to make each time available. You can also set specific times for all services.

There are no limits to the number of overrides that can be set.

Note: While a service can be added to multiple overrides, the system will only recognize the first override for that specific service. You can combine different times available on different days of the week into a single override to make sure all times apply to that service.

For a Class service, make sure the "whenever you have availability" option (Method 2 here) is checked on the Class setting to allow the service to follow an appointment times override you set.

Setting specific appointment times for specific services

(1) On the web app: go to Settings > Scheduling Policies

On the mobile app (version 7.3 or above): Tap on Scheduling Policies under the Configure section on the Settings tab

(2) Scroll down to the Available Appointment Times section

(3) Click or tap the Add button next to "Add override for specific services"

(4) Select your specific service(s) from the drop-down menu

The service will be added as a tag.

Note: You can also select multiple services for an override.

(5a) Click or tap the Time field to select a time in 15-minute increments from the menu, then click or tap the Add Time button; or

(5b) In the Time field, enter your own time, then click or tap the Add Time button

Note: You can type times in 5-minute increments (e.g., 3:05 pm, 10:25 am,7:50 pm, 12:00 pm, etc.) in the white Time field.

(6) Check the boxes of all days that you want this time to be available

(7) Repeat steps 5 and 6 until you add all available times

(8) On the web app, click Save at the bottom of the page to make your changes active.

On the mobile app, tap Save at the bottom of the page, then tap Close at the top to return to the Settings tab

Removing an appointment time

You can remove a time from the specific times settings by clicking the delete link next to the time.

On the web app, click Save at the bottom of the page to update. On the mobile app, tap Save at the bottom of the page, then tap Close at the top to return to the Settings tab.

Things that may affect the specific appointment times

Service duration

Different service durations will block out time on your schedule when appointments are booked, possibly removing appointment times so that clients can't doublebook during another appointment.

Service duration will also impact the last appointment time shown during your work hours.

Setup and cleanup time

Setup time on a service adds time to the beginning of appointments, adjusting the appointment start time in the scheduler accordingly.

For example, with specific times set at 9:00, 10:15, 11:45, and 1:30, 5 minutes of setup time would display the appointment times at 9:05, 10:20, 11:50, and 1:35 in the online scheduler.

Cleanup time on a service adds time to the end of appointments to create a buffer between appointments. This can also block appointment times from appearing.

Reduce gap setting

The reduce gap setting will add appointment times at the end of previous appointments to help reduce gaps in your schedule.

For example, with specific times set at 9:00, 10:15, 11:45, and 1:30, if a client books a 45-minute service at 10:15 am, the next client would see appointment times at 9:00, 11:00, 11:45, and 1:30.

Classes and events

Classes and events are designed to be manually added to your calendar on the specific dates and times you want to make them available in the online scheduler.

The "whenever you have availability" option on the Class setting on a service allows the service to follow an appointment times override you set, if you offer the class service on regular basis throughout the week.
