Syncing Google Calendar events with your Schedulista calendar

Schedulista provides online appointment scheduling software for your business or organization to allow your clients to book with you 24/7. We offer a number of integrations with other software and services to aid with your business.

To help manage your availability, you can enable two-way synchronization with your Google Calendar account to import calendar events.

Events from imported calendars can help block out time on your Schedulista calendar when you are unavailable to offer services.

What's included in the import

  • Title of the Google event

  • Status of the event (Busy or Free)

  • Event description

On a multi-user account, if you are viewing another provider's calendar that is synced to their Google Calendar account, you will see Google events listed solely as Google Calendar Appointment to preserve their privacy.

There are three (3) steps to setting up your Google Calendar Sync:

Importing calendars from Google Calendar

Once the sync is enabled, you can import a single calendar or multiple calendars from your Google Calendar account. See which calendars are available for import below.

When changes are made to Google Calendar events, they should update near-instantly on your Schedulista calendar.

Using the mobile app or web app to import calendars for the sync applies to both on your account.

On the mobile app

Available on version 7.3 and above

(1) Go to the Calendar tab

(2) Tap on the Calendar Settings icon on the top of the Calendar tab page (top left on iOS; top right next to the Add Appointment plus [+] symbol on Android)

(3) On the Calendar Settings page, tap on Sync with Google

(4) On the Sync Calendar page, under the Imported Calendars section, select a calendar from the Import calendar drop-down menu

(5) Tap the Import button

Note: It may take a few minutes (up to 30 minutes, sometimes longer) for the imported calendar to sync, depending on how many events are on the calendar.

Repeat Steps 4 & 5 to import additional calendars from your Google Calendar account.

On the web app

(1) Go to the Calendar

(2) Click on the gear icon on the top right

(3) Select Sync with Google (or Sync Calendar) from the menu that appears

(4) On the Sync Calendar page, under the Imported Calendars section, select a calendar from the Import calendar drop-down menu

(5) Click the Import button

Note: It may take a few minutes for the imported calendar to sync, depending on how many events are on the calendar.

Repeat Steps 4 & 5 to import additional calendars from your Google Calendar account.

Calendars available for import

The sync allows you to import any of the calendars listed under the My calendars section of the menu on your Google Calendar account on the web.

Note: Calendars listed under the Other calendars section of the menu on Google Calendar cannot be shared in the sync because these calendars are not owned by your Google Calendar account. They are shared or subscribed to from other sources and have limitations on being shared from your account to other accounts or other calendars. These calendars will not appear in the list of calendars to import into Schedulista.

Google Calendar mobile app

The Google Calendar mobile app does not separate calendars into these two sections; everything is listed in the order the calendars were added to the account. (You can also sync or unsync calendars in the app to add or remove them from viewing.) Make sure to check your Google Calendar account on the web if you don't see a calendar listed in the Google Calendar mobile app on the list of available calendars to import in Schedulista.

Note about Google Calendar event status

Google Calendar events can be set to Free or Busy status. If you want a Google event to block out time in Schedulista, you will want to set it as Busy.

All-day events in Google are set to Free by default. You can change this while setting the event or by editing the event after it is set.
