Schedulista offers online service-based appointment scheduling. You define the list of services your business offers. Clients select from your list of services to block out the appropriate dates, times, and durations from your schedule.
If needed, you can update an appointment to change the service on the appointment.
Notes about changing services
When changing services, the drop-down menu on the appointment will show services that the specific provider is attached to offer. A provider must be attached to a service for it to appear in the menu.
Individual appointments and classes
An individual service can be changed for an individual service
A class service can be changed for a class service
An individual service cannot be changed for a class service. You would need to cancel the appointment and set a new one with the class service.
A class service cannot be changed for an individual service. You would need to cancel the class appointment and set a new one with the individual service.
Zoom-integrated appointments for video/virtual appointments
A meeting is only set in Zoom when an appointment is first booked or set in Schedulista. An existing Schedulista appointment cannot set a meeting on your Zoom account.
You can switch from a non-Zoom service to a Zoom service, but:
a meeting will not be set on your Zoom account
a join meeting link will not be included in the change/reschedule notification sent to the client
You can switch from one Zoom service to another Zoom service, but:
the service set on the meeting on your Zoom account will not change
the client will not be sent a new join meeting link
In either case, you will need to cancel the existing appointment and set a new appointment with the appropriate Zoom service
Payments and service prices
Changing the service on an appointment does not affect any payment that was taken when the client originally booked the appointment
The client is not automatically charged for any price increase with the change in service
The original payment is not automatically refunded
You can charge the client's card on file through Stripe for any difference in price of the changed service
You can manually issue a refund through Stripe if the price of the changed service is less than the payment taken when the appointment was booked
Changing the service on an appointment
You can also change the service on the mobile app.
If this option is not yet available on your business account, please contact us at firstname.lastname@example.org to enable for your account.
(1) Go to the Calendar
(2) Click on the appointment you want to update to open/edit it
(3) Click the Service drop-down menu
(4) Select a different service
Note: Only services that the provider offers will appear. If
you are changing an individual appointment service, only individual
appointment services will appear. If you are changing a class
service, only class services will appear.
(5) Click Save
(6) A prompt will ask if you want to send a reschedule/update notification to the client to let them know of the change. If you choose to, you can also opt to send a personalized custom message to the specific client on the notification. This will be in addition to any other custom messages you might have set.
(7) Click Save
The service on the appointment should now be changed on the calendar.
Example in the image above is of a split appointment service.
Changing the service on a repeating appointment or class
You can change the service on repeating appointments and classes using the same steps above. When you are prompted about sending notification to the client, you can also choose to apply the service to change to all future appointments in the repeating series or not.
Click the No button not to Update all future appointments? to change to a green Yes.
If you don't opt to apply to all future appointments in the repeating series, the service will only be changed on that one specific occurrence.
