Schedulista's automated confirmation and reminder emails provide clients with the basic appointment information for their records. An online summary page with this information can also be accessed from the optional text/SMS appointment reminders.

You can add a custom message to the emails and the appointment summary page to provide clients with additional information specific to your business or services. You can also add custom messages for specific services.

  • You can add links to payment pages or portals for other payment processors or transfer services (PayPal, Square, Authorize.net, Venmo, CashApp, etc.), if you don't wish to use our Stripe integration for online payments

  • Format text to draw clients to important notifications

As part of Schedulista's service, clients are automatically sent a confirmation of their appointment for their records by email within minutes of booking. They are also automatically sent a reminder email prior to their appointment, usually based on the deadline you set for your cancellation policy.

Clients who opt for text/SMS appointment reminders can tap the Details link in the reminders to visit the online summary page for their appointment with the same information as the confirmation & reminder emails.

What's already included

In addition to your business name and a business logo you add to your account, there is basic information included in the emails and on the summary page that cannot be customized.

Included on the emails

  • the name of the service

  • the name of the provider they've booked with

  • the date and time of their appointment

  • your set cancellation policy, including any custom policy notice you set

  • the cancel appointment link to cancel or reschedule online, if you allow clients to do so

  • a View appointment details link to take clients to the online summary page.

If you have a business address (or service location), a website address, and/or a contact phone number set on your account, these will also be included in the emails. A Google Map drawn from the business address or service location will also appear.

If you are using the Zoom integration, the join meeting link (and any password, if necessary) is automatically included in the emails.

Included on the online summary page

  • the name of the service

  • the name of the provider they've booked with

  • the date and time of their appointment

  • your set cancellation policy, including any custom policy notice you set

  • the cancel appointment link to cancel or reschedule online, if you allow clients to do so

  • an Add to calendar link for the client to add the appointment to their personal calendar

  • a list of the client's other upcoming appointments, if any; each appointment in the list is a link to its own summary page

Custom message limitations

There is no limitation to the length of a custom message you can add. Though, we recommend short, succinct messages to present information to your clients. The same custom message appears on both the confirmation and reminder emails.

Files and images cannot be added. You can add links to webpages for clients to visit, to files to download, or to online folders for clients to upload files.

You can use limited HTML markup to add links or style the text in the custom message.

When you paste a URL (ex. https://www.schedulista.com) into the custom message field and save, it will automatically convert to a link on the summary page and in the emails. You can also use the HTML anchor tags (<a>) to hyperlink words. (e.g., <a href="https://www.schedulista.com">Click here</a> = Click here)

You can also add unordered lists (with bullets) or ordered lists (with numbers) using the <ul> and <ol> HTML tags.

Note: Schedulista does not host any images, documents, or files to 
download. Schedulista also does not have storage for clients to upload
files while booking. You can include links from other websites or cloud
storage services to download or upload.
