Using the reduce gap setting in Schedulista to group appointments

Schedulista provides flexibility to offer start times for your appointments that will work best for your services. Using a frequency interval, setting specific start times, or using classes gives you control and lots of options.

The reduce gap setting can help limit the appointment times that appear in the scheduler to help group appointments together near each other and avoid large gaps.

Appointment times and gaps

Different durations of services (including any setup and/or cleanup time settings) can cause gaps in your schedule as appointments are booked, depending on your scheduling interval or set specific appointment times.

Schedulista typically presents full days of appointment times, depending on your settings, to provide your clients with the most flexibility to book with you. You may prefer to limit your available times to group appointments near each other instead. The reduce gap setting can help with this.

The setting will add additional times at the end of previous appointments. You can use this to build out your schedule each day as clients book.

A single time can be presented at the start of your work day. When this time is booked, another time will be presented at the end of the appointment for the next client to book. When that time is booked, another time is presented, and so on.

For example, your day could start with a single time at 9:00 am. If a client books a 45-minute service, a 9:45 am appointment time would appear in the scheduler. This would be the only time the next client could select to book. If that time is booked for a 30-minute service, the next time presented would be 10:15 am.

This would continue until your set availability for the day no longer supports more appointments.

You can set the single specific time for all services or set specific times for specific services.

Setting up appointment limiting

(1) On the web app: go to Settings > Scheduling Policies

On the mobile app (version 7.3 or above): Tap on Scheduling Policies under the Configure section on the Settings tab

(2) Scroll down to the Available Appointment Times section

(3) Select Clients book only at specific times

(4a) Click or tap the Time field to select a time in 15-minute increments from the menu, then click or tap the Add Time button; or

(4b) In the Time field, enter your own time, then click or tap the Add Time button

Note: You can type times in 5-minute increments (e.g., 3:05 pm, 10:25 am,7:50 pm, 12:00 pm, etc.) in the white Time field.

(5) Check the boxes of all days of the week that you want this time to be available

(6) Check the reduce gap setting ("Clients can also book...")

(7) Click Save at the bottom of the page
