Adding appointments directly to your Schedulista calendar through the mobile app

Schedulista is designed to allow your clients to book appointments themselves online. However, you are also able to set appointments directly on your calendar in the mobile app, if needed. You can also set appointments on your calendar on the web app dashboard.

Uses for setting appointments

  • Perfect for setting a next or follow-up appointment with a client while they are in the office or shop

  • Great for walk-in appointments or clients who contact by phone

  • A quick way to add classes to your calendar on dates & times you want to make them available in the online scheduler

Setting an appointment

You can also set appointments on the web calendar.

(1) Go to the date on the mobile app calendar and double-tap on the time block you want to set for the appointment

(2) Select Service for the type of appointment to create

(3) On the Appointment details page, tap the Service field

(4) On the Service page, select a service from your list

You'll return to the Appointment details page with the basic information you've set for the service (duration, any setup/cleanup time, max capacity if the service is a class, etc.) filled in.

(5) (Optional) Tap on Duration to adjust, if necessary

  • Set the new duration
    ​

  • Tap Done to return to the Appointment details page
    ​

(6) (Optional) If you are scheduling repeating appointments, set the type and frequency of the repeats

(7a) Tap the Add Client field

(8a) Enter your client's name in the Search field on the Clients page for their existing client record and tap on appropriate result to add the client to the appointment; or

(8b) If they are a first time client, click the plus symbol (+) on the top right to create a new client record

  • This will bring up the Create Client page to fill out. Make sure to ask for and include the client's email address so that they receive the confirmation and reminder emails.

  • Tap Done to save the new client record and add the client to the appointment

(9) (Optional) Enter any comments about the appointment in the Notes field. The notes are for your own records and will not be shared with the client.

(10) Tap Save

(11) The Create Appointment page will prompt you with the option to send Email notification or not. If you select Yes, the client will be sent a confirmation of their appointment by email for their records.

(12) (Optional) If you choose to send notification, you can also add a custom message to the client for this appointment. This will be in addition to any custom messages you've set for all services or for any specific services.

(13) Tap Save when you're ready to add the appointment to your calendar.

Alternate method

(1) Instead of tapping on directly on the calendar to set an appointment, you can tap on the plus symbol (+) on the top right.

(2) Select Service for the type of appointment to create

(3) On the Appointment details page, tap the Service field

(4) On the Service page, select a service from your list

You'll return to the Appointment details page with the basic information you've set for the service (duration, any setup/cleanup time, max capacity if the service is a class, etc.) filled in.

(5) Tap on the Date field

  • Select the date you want to set the appointment

  • Tap Done

(6) Tap on the Time field

  • Select the time you want to set the appointment
    ​

  • Tap Done

With the date and time set, you can continue with the remaining steps above from Step 5 on.

Setting an appointment for a client without an email address

If the client doesn't have an email address or the client has opted out of receiving emails, the system will let you know that no email will be sent for the appointment. Tap Save to add the appointment to your calendar.
