You can manage your availability to provide services with the following:
- Set up your work schedule
- Flex time to adjust your work schedule for a particular day
- Block out time with personal appointments
Once your availability is set, learn more about defining times you want to offer appointments to your clients here.
Set up your work schedule
You can manage your work schedule from the Calendar tab.
(1) Go to Calendar
(2) Click the gear icon in the upper right
(3) Select Work Hours... from the drop down menu
(4) Set your work hours in the dialog
(5) Click Save
Note about work hours
Work hours are your range of availability and not necessarily your office hours. Clients do not see your work hours on the scheduler. They see available appointment times based on your set work hours.
For example, your office hours might be 9:00 am to 5:00 pm but you might regularly take an appointment at 5:00 pm that lasts past your office hours. You'll want to set your work hours to support the appointment time and the duration of that appointment.
If you offer a 5:00 pm appointment time for a 1 hour service, you'll want to set your work hours starting at 9:00 am and ending at 6:00 pm.
Per day work hours (Flex time)
Flex time is an override that allows you to adjust your work hours/availability for a specific day. This is useful for:
- changing your work hours for a single day without affecting your standard work hours
- opening availability for a day that was previously closed
- taking a day off
You can set the flex time override directly on your calendar.
(1) Go to Calendar
(2) Click the small clock icon next to the day you'd like to change
Note: You will need to be in the Week or the Day view to see the clock icon.
In Week view, the clock icon will be next to the date.
In Day view, the clock icon will be next to the provider's name.
(3a) In the date dialog, select Take the day off; or
(3b) Select Override work hours and...
...adjust your start and/or end time for that day
(4) Click Save
Blocking out time with Personal Appointments
"Personal" appointments block time out of your schedule when you are unavailable to offer services.
You can block out time for breaks or lunch; for staff or management meetings; for personal engagements (doctor's appointments, sports games, etc.); and more. You can also block out repeating blocks of time for things like vacations, leaves of absence, split work days, and more.
Create a personal appointment just as you would an appointment for a client by clicking a date/time slot on your calendar. For the Service, you'll want to select "Personal" from the drop-down menu. (This is usually the default.)
You can adjust the start time, and set a duration for the time you'd like to block out.
Note: In the image above, we block out every other Tuesday as unavailable.
