Schedulista is 24/7 online appointment scheduling software for businesses and organizations.

An appointment report provides a history of past and upcoming appointments for your Schedulista account.  The on-screen report provides a quick reference.  You can export a report to a file for full appointment details.

Format of the exported file

You can export your past, future, or all appointment information into a CSV (comma separated values) file to store with your records or use with other software.

CSV is a common file format that is supported by many different software. It can also be opened in most spreadsheet programs. (i.e., Microsoft Excel, Apple Numbers, Google Sheets, Apache OpenOffice Calc, LibreOffice Calc, Zoho Sheet, etc.)

Appointment information exported

The fields/columns provided in the export are:

  • appointment date & time

  • appointment duration

  • provider name

  • service name

  • client name

  • client email

  • client phone number

  • service price

  • appointment notes

  • any custom field data

Exporting an appointment report

(1) On the web app: Go to the Home page

On the mobile app (version 7.6.0 and above): Go to the Home tab

(2) Click or tap the Appointments link in the Reports panel

Note about switching providers on a multi-user account

If you are an administrator on a multi-user account, by default, your Home page/tab is viewing information for all providers on the business account.

For an appointment report, you can either filter the report by provider on the report page (see Step 3 below), or you can select a specific provider from the provider drop-down list on the Home page to view only their information and run reports for just their appointments (skip to Step 4 below).

On the web app, click on Switch Provider on the top of the Home page to select a specific provider.

On the mobile app, tap on the group token icon on the top right of the Home tab page to select a specific provider.

(3) Use the search field to filter your report, if needed (client's name; provider's name; service; combination of two or more)

(4) Select a report type

The quick reference page will present appointments based on the type and your filters. This will include:

  • the date of the appointment

  • the time of the appointment

  • the provider

  • the service

  • the client's name

(5) After you've run your report, click or tap on the gear icon in the upper right. Select one of the export options based on the type of report or any filtering done.

Export options

  • Export all - Creates a report of all appointments on file, past and upcoming.

  • Export past - Creates a report of all past appointments.

  • Export future - Creates a report of all upcoming appointments.

  • Export selection - Creates a report of all filtered appointments returned in a search.

Printing an appointment report

A printed report will be in the on-screen format, based on the type of report selected (past, future, all) and any search filters you've entered.

(1) On the web app: Go to the Home page

On the mobile app (version 7.6.0 and above): Go to the Home tab

(2) Click or tap the Appointments link in the Reports panel

(5) After you've run your report, click or tap on the gear icon in the upper right. Select Print from the menu.

Printing full appointment details

To print full appointment details, run an appointment report, export the report to file, then open the file in a spreadsheet program, and print from the file.
