Schedulista is designed for single providers and businesses with multiple users. A user is a staff member with access to your business account.

Switching from the single provider / user plan to the multi-provider / multi-user plan is as simple as adding another user to your account. You can also remove all other users to move back to the single provider / user plan.

Note about switching subscription plans

You will not be charged immediately for changing subscription plans. For the multi-user plan, the next time your account subscription auto-renews, it will be at the higher rate. When going back to the single user plan, it will revert to the lower rate the next time the subscription renews.

Contents:

Switching to multi-user plan

To add another user:

(1) On the web app: Go to Settings > Users / Calendars

On the mobile app (version 7.3 and above): Tap on Users / Calendars under the Configure section on the Settings tab

(2) Click or tap the Add User / Calendar link

(3) You will receive a notification letting you know that you will be moving to the Multi-Provider plan. Click or tap Ok to agree to the switch.

You can now add additional users to your business account.

Moving back to single user plan

Switching back to the single provider / user plan requires you removing all other users on the business account. To remove users:

(1) On the web app: Go to Settings > Users / Calendars

On the mobile app (version 7.3 and above): Tap on Users / Calendars under the Configure section on the Settings tab

(2) Click or tap Edit next to a user account you'd like to remove.

(3) Scroll down to the bottom of the user details page. Click or tap Delete User to remove the user from your account.

In the new dialog, click Confirm to delete the user.

Repeat the process until you have the one original user left on the account.

The next time your account auto-renews the subscription, it will be at the lower rate.

Note: Deleting a user / calendar does not delete all appointments from the system. The appointments will still show in the history on each client record, as well as still appear in appointment reports. You will not be able to view the appointments on a calendar.

If you need full details of appointments, you can run a report and export it to a file. The file contains all appointment information, including any appointment notes and custom field data.

Unable to delete a user

There are two cases where you will not be able to delete a user account: if you are trying to delete the account you are signed into or if a user's calendar has upcoming appointments.

Signed into account

You will not be able to delete a user account if you are currently signed into it. When you edit the user account, the Delete User link will not appear.

To delete the user, you will need to sign out of the user account and then sign into the account of another user with admin level access. You can then edit the account you wanted to remove and the Delete User link will show.

Upcoming appointments on calendar

When you try to delete a user with an active calendar that has upcoming appointments, you will be prompted to remove those appointments from the calendar first before the user can be deleted.

You can either delete the upcoming appointments or you can change the provider on each appointment to move them to another user's calendar.

Note: For repeating appointments or classes, when you delete one or change the provider on one, there will be an option to also cancel all future appointments or update all future appointments in the series. Select Yes and save to quickly delete or move the whole repeating series.

You do not need to remove any past appointments to delete a user / calendar.

Once all upcoming appointments have been removed, you can click the Delete User link to remove the user account.

Wix customers

Wix Billing handles the subscription billing if you created your Schedulista business account while adding the Schedulista Bookings app to your Wix website. Currently, Wix Billing only supports the single user plan. If you need to add more users to your account, you'll first need to switch billing systems to Schedulista-direct billing.

You can follow the steps to switch billing systems here.
